Workflow automation projects for Adelaide businesses

WaTo builds workflow automations that replace the manual, repetitive tasks eating up your team's time. Invoice comes in? It gets filed, logged and flagged for approval — automatically. New customer signs up? Their details flow into your CRM, a welcome email goes out, and a task gets created for your team — without anyone copying and pasting. We use tools like Power Automate, Zapier and custom integrations to connect your systems and build workflows that run themselves.

What is a workflow automation project?

A workflow automation project identifies manual, repetitive business processes and builds automated versions using software tools. Instead of a person copying data between systems, sending reminder emails, generating reports or updating spreadsheets by hand, a workflow runs automatically — triggered by events like a form submission, an email arrival or a calendar date. It's not about replacing people; it's about freeing them from the tasks that shouldn't need a human in the first place.

What we deliver

Process mapping and scoping

We document your current manual workflows step by step — who does what, when, and what triggers each action — then identify what can be automated.

Power Automate workflows

Automations built in Microsoft Power Automate for businesses on Microsoft 365 — connecting Outlook, SharePoint, Teams, Forms and third-party apps.

Zapier integrations

Multi-step Zaps connecting hundreds of apps — from CRMs and accounting software to form builders and communication tools — for businesses not on Microsoft.

Custom API integrations

When off-the-shelf connectors aren't enough, we build custom integrations using APIs, webhooks and scripts to connect systems that don't natively talk to each other.

Notification and alert workflows

Automated alerts via email, SMS or Teams when specific events happen — overdue invoices, low stock, form submissions, system errors or calendar triggers.

Testing and handover

Every workflow tested with real data, documented clearly and handed over with a walkthrough — so your team understands what's running and how to adjust it.

Who it's for

  • Small businesses spending hours on data entry, email follow-ups, report generation and other repetitive admin tasks.
  • Teams using multiple cloud apps — CRM, accounting, project management, email — that don't share data automatically.
  • Operations managers who know their processes could be faster but don't have the technical skills to build automations themselves.
  • Businesses on Microsoft 365 sitting on Power Automate licences they've never used.

How it works

  1. We identify the right workflows. A conversation about where your team spends time on repetitive tasks — we look for high-volume, low-complexity processes that are good candidates for automation.
  2. We map the current process. Each workflow documented step by step — triggers, actions, decisions and outputs — so we know exactly what the automation needs to replicate.
  3. We build the automation. Workflows built in Power Automate, Zapier or custom code depending on your systems — connected to your real accounts and tested with real data.
  4. We test and refine. Every workflow run through multiple scenarios — normal cases, edge cases, errors — to make sure it handles the unexpected without breaking.
  5. We hand over and document. Your team gets a clear explanation of what each automation does, how to monitor it, and how to request changes — plus documentation for future reference.

Why WaTo for workflow automation

  • We start with the process, not the tool — understanding what your team actually does before deciding how to automate it.
  • We work across platforms — Power Automate, Zapier, Make, custom APIs — and pick what fits your existing systems, not what we prefer.
  • We build practical automations that save real time, not impressive demos that break in production.
  • Adelaide-based with a focus on small and medium businesses — we speak your language, not enterprise consulting jargon.
  • We've been building IT solutions for small businesses since 2001 — workflow automation is a natural extension of that work.

Workflow automation questions

Do we already have Power Automate?

If your business uses Microsoft 365 Business Basic, Standard or Premium, you already have Power Automate included in your licence. Most businesses we work with are paying for it and not using it — we help you get value from what you're already paying for.

How much time can automation actually save?

It depends on the process, but we typically see teams save several hours per week on tasks like data entry, email notifications, report generation and file management. We'll give you an honest estimate during scoping.

What if the automation breaks?

We build error handling into every workflow — retries, fallback actions and notifications when something fails. We also monitor workflows after handover and can jump in to fix issues quickly.

Can you automate processes that involve approvals?

Yes. Approval workflows are one of the most common things we build — purchase requests, leave applications, document sign-offs — routed to the right person with reminders and escalation if they don't respond.

Ready to stop doing the same tasks by hand?

Get in touch and we'll identify the workflows worth automating in your business.

No two businesses are the same — so nothing we do is off-the-shelf. Every solution is built around yours, and kept simple.

Our story

Built in Adelaide, since 2001

WaTo Consulting was founded by John Watson in Adelaide in 2001. Over two decades it's earned a name for tailored work across a wide range of industries — helping businesses of every size run more smoothly, work more efficiently and grow steadily, without blowing the budget or disrupting the day-to-day.

Emma Watson (née Dickenson) played a significant part in shaping what WaTo became. She brought real expertise and a clear vision for where it could go — expanding the business, bringing in new systems and fresh thinking, and raising the standard of how things are done. A great deal of what WaTo is, we owe to her.

Today it's all tailored, never off-the-shelf — IT & Digital, Business & Web Hosting, built around what each client actually needs. Over the years those areas have come together under one roof: our IT & Digital, Currency, Business and Web work (through Whosts.au) now all sit within WaTo Consulting — one team, one standard, looking after the lot.

When you work with us, you're not a client — you're a partner.
