The short answer
A workable AI policy lists the approved tools, the data that must never go into them and who to ask when unsure. In Adelaide, WaTo Consulting finds out which AI tools staff already use, drafts that policy with you, trains staff in small groups using real tasks from their work and sets a date to review it.
What does AI policy, governance & staff training involve?
We start by finding out which AI tools your staff already use, then write a short policy that says what is approved, what data must never go into them and who to ask when unsure. The training that follows uses examples from your own work, so people learn where AI genuinely saves time and where it puts client information at risk.
What WaTo can help with
Practical policy
Write plain-English rules that reflect the tools and data your business actually uses.
Risk awareness
Explain what should never be pasted into public or unapproved AI tools.
Role-based training
Show staff useful examples relevant to their work, not generic hype.
Review cycle
Keep the rules current as AI tools and business processes change.
Who it is for
- A business that has found out staff are pasting client emails or documents into free chat tools
- An accounting, legal, health or advisory practice that holds confidential client records
- A manager who wants staff using Copilot or ChatGPT well but has no written rules yet
- A business answering a client, insurer or tender question about how it governs AI use
How it works
- We find out what is already happening. A short survey or conversation with staff shows which AI tools are in use and what kind of information goes into them.
- We draft the policy with you. It lists approved tools, data that stays out of AI, and a contact for questions, in plain English that fits on a few pages.
- Staff are trained in small groups. Each session uses real tasks from that team, such as drafting replies or summarising notes, and shows the safe way to do them.
- The policy gets a scheduled review. AI tools change quickly, so we set a date to check the approved list and update the rules.
Why WaTo for AI policy, governance & staff training
- The policy is written for your tools and your data, not copied from a large corporate template
- Training shows staff practical uses for their own job, so the rules feel like help rather than a ban
- We also manage Microsoft 365 and Google Workspace, so we can set the tool settings to match the policy
- A real person answers when staff hit a grey area and need a quick call on whether something is okay
AI policy, governance & staff training questions
Should we just ban AI tools at work?
Usually not. A ban tends to push use onto personal phones and accounts where you have no visibility at all. Approving a few tools with clear limits on client data gives you more control.
Is Microsoft Copilot safer than free ChatGPT for business data?
Copilot used under a business Microsoft 365 account keeps your data inside your tenancy, which is different from a personal free account. It still only respects the permissions you already have, so we check file sharing before switching it on.
How long does staff training take?
Most teams get through it in a single session per group, often an hour or two. Longer sessions only make sense when a team wants hands-on practice with a specific tool.
