The short answer
Microsoft only holds deleted items for a limited time, so a separate backup is what lets you recover email, OneDrive, SharePoint and Teams data after that window, after ransomware or once a leaver's account is gone. WaTo Consulting sets up Microsoft 365 backup for Adelaide businesses, agrees retention with you, watches the first run and tests restores regularly.
What does Microsoft 365 backup & recovery involve?
A separate backup service copies mailboxes, OneDrive, SharePoint sites and Teams files out of Microsoft 365 on a schedule and stores them in a different location. Microsoft's own recycle bins and retention only hold deleted items for a limited time, so the backup covers what falls outside that window, along with ransomware damage and accounts removed when staff leave. We set it up, check that it runs and test restores so you know how long getting something back really takes.

Protect important mailboxes and make lost messages easier to recover.

Who it is for
- A business that assumed Microsoft backed everything up and found out otherwise after losing a folder.
- Offices that remove a leaver's licence and want the mailbox and OneDrive kept instead of deleted.
- Teams working out of shared SharePoint libraries where one bad sync can delete files for everyone.
- Businesses whose insurer or clients ask how cloud email and files are backed up.
How it works
- We check what needs protecting. We list mailboxes, OneDrive accounts, SharePoint sites and Teams, including shared mailboxes and former staff accounts you want kept.
- We set retention to suit the business. How far back you can restore depends on how long backups are kept, so we agree that with you up front.
- We connect the backup and watch the first run. The initial copy can take a while for large mailboxes, and we confirm it completes before calling the job done.
- We test a restore. We recover a sample email and file, note how long it took and repeat the check from time to time.
Why WaTo for Microsoft 365 backup & recovery
- We test restores regularly, since a green tick on a backup report does not prove a file can come back.
- Former staff mailboxes can be kept in the backup, which may save paying for a licence just to hold old email.
- When someone deletes the wrong folder, you call us and we restore it, often without the user needing to do anything.
- Local Adelaide support since 2001, so restores are handled by someone who knows your Microsoft 365 setup.
Microsoft 365 backup & recovery questions
Doesn't Microsoft already back up our data?
Microsoft keeps the service running and holds deleted items for a limited time, but that is not a full backup you control. If something is deleted and the retention window passes, or ransomware encrypts synced files, recovery can be difficult. A separate backup gives you copies you can restore on your own terms.
Can we restore a single email, or does it have to be the whole mailbox?
You can restore a single email, folder or file, or a whole mailbox or site. Most restores are small, like one folder someone deleted by accident. We restore to the original location or to a separate folder so nothing current gets overwritten.
What happens to a leaver's data once their licence is removed?
If it is in the backup, it stays there for as long as your retention setting allows, even after the account is deleted. That means you can drop the licence and still recover their email or files later. We agree the retention period with you during setup.
