The short answer
Paper forms, spreadsheets and email approvals can usually be replaced with digital forms and automatic routing in the Microsoft 365 or Google Workspace tools you already pay for. WaTo Consulting maps the process with Adelaide businesses, pilots the new form with a small group, then rolls it out and keeps refining it.
What does digital forms & workflow automation involve?
We sit with the people who do the work and map how a job, request or approval moves today, including the paper forms, spreadsheets and email chains. Then we replace the slow parts with digital forms in tools like Microsoft Forms, Power Automate or Google Workspace, so information is captured once and sent to the right person automatically.
What WaTo can help with
Process mapping
Understand what happens now before choosing a tool or automation.
Digital forms
Build practical capture forms for staff, customers, jobs or approvals.
Workflow automation
Route information, notifications and follow-up work without manual copying.
Ongoing refinement
Improve the workflow as the business learns what works in real use.
Who it is for
- A business where staff fill in paper forms that someone retypes into a spreadsheet later
- A team whose leave requests, purchase approvals or job sheets live in long email threads
- A field service business that wants technicians to complete reports on a phone or tablet
- A manager who spends hours each week copying data from one system to another
How it works
- We map the current process. We follow one real example from start to finish and note each handoff, delay and place data gets retyped.
- We pick the simplest tool that fits. Where possible we use systems you already pay for, such as Microsoft 365 or Google Workspace, before suggesting anything new.
- The form and workflow are built and piloted. A small group uses it for real work first, and we adjust fields and routing based on what trips them up.
- It rolls out to the wider team. Staff get a short walkthrough, the old paper or spreadsheet is retired and we keep refining as feedback comes in.
Why WaTo for digital forms & workflow automation
- We map the process before choosing a tool, so automation fixes the actual bottleneck
- We favour the Microsoft 365 or Google Workspace licences you already have over another subscription
- Pilots with real staff catch the awkward steps before everyone has to use it
- A real person answers when a workflow needs a tweak, without a ticket queue in between
Digital forms & workflow automation questions
Which process should we digitise first?
Start with one that happens often, involves retyping and annoys people. Leave requests, job sheets and purchase approvals are common first choices because the results show up quickly.
Do we need to buy new software for workflow automation?
Often not. Microsoft 365 includes Forms and Power Automate, and Google Workspace has Forms and AppSheet, which handle a lot of everyday workflows. We only recommend something new when those cannot do the job.
What happens to our old paper forms and spreadsheets?
They are usually kept for reference while the new workflow beds in, then retired once staff are comfortable. Historic data can often be imported into the new system if you need it in one place.
