The short answer

Before buying Copilot licences, check who can see what in Microsoft 365, because Copilot shows each user everything they can already open. WaTo Consulting reviews SharePoint, Teams and OneDrive sharing for Adelaide businesses, locks down overshared files such as HR and finance, then runs a small pilot group to see whether wider rollout is worth the cost.

What does Microsoft Copilot readiness involve?

Copilot can only see what each user already has access to in Microsoft 365, so the main risk is oversharing that was already there. Readiness work means finding SharePoint sites, Teams and OneDrive links that are open too widely, tidying where important files live, and agreeing simple rules with staff about what they ask Copilot and how they check its answers before anyone pays for licences.

What WaTo can help with

Permission review

Check whether people can already see more data than they should.

Data structure

Identify the files and information Copilot will draw from.

Pilot plan

Start with the teams and tasks most likely to benefit.

Staff guidance

Set clear expectations for checking AI output and protecting business information.

Who it is for

  • A business owner who wants to try Copilot but is not sure who can see the payroll folder
  • A team whose files are split between desktops, old file shares and OneDrive, so Copilot would have little to work with
  • An office where 'anyone with the link' sharing has been the default for years
  • A manager who needs to explain to staff what is and is not okay to put into an AI tool

How it works

  1. We check who can see what. We review SharePoint and Teams membership, external sharing and organisation-wide links to find sensitive files that are too open.
  2. We fix the permission problems first. Overshared sites are locked down, stale links are removed and sensitive folders like HR and finance are restricted to the right people.
  3. We pick a small pilot group. A handful of staff with tasks that suit Copilot, such as drafting emails or summarising meetings, get licences first.
  4. We review the pilot with you. Feedback from those users helps decide whether wider rollout is worth the licence cost and what guidance other staff need.

Why WaTo for Microsoft Copilot readiness

  • Permission clean-up done for Copilot also reduces the damage if an account is ever compromised
  • We tell you plainly if Copilot is not worth it for your business yet
  • Staff guidance is short and practical, written around the tasks your team actually does
  • We already manage Microsoft 365 tenants, so we know where oversharing tends to hide

Microsoft Copilot readiness questions

Can Copilot see files that staff should not have access to?

Copilot only shows what the signed-in user can already open, but many businesses find people can open far more than they realised. That is why the permission review comes before any licences are bought.

Do we need to buy Copilot for everyone at once?

No, and we usually advise against it. Starting with a small pilot group shows where it saves time in your business before you commit to licences across the whole team.

Does our data need to be in SharePoint or OneDrive for Copilot to use it?

For the most part, yes. Copilot works with mail, Teams, OneDrive and SharePoint, so files sitting on a local server or on someone's desktop will not show up. Part of readiness is deciding which of those files should move.

Who we work with

Our story

Built in Adelaide, since 2001

WaTo Consulting was founded by John Watson in Adelaide in 2001. Over two decades it's earned a name for tailored work across a wide range of industries, helping businesses of every size run more smoothly, work more efficiently and grow steadily, without blowing the budget or disrupting the day-to-day. Rumour has it the story starts much earlier, with a young Wato on his grandfather's knee in front of a Commodore 64, learning to code in BASIC.

Emma Watson (née Dickenson) was part of the story for a stage along the way. She brought real estate and property management expertise, and a clear view of where the business could go: growing it, bringing in new systems and fresh thinking, and lifting the standard of how things are done. WaTo has been through plenty of shapes and stages since, but one thing she helped sharpen has never changed: being consistent for the client is a must.

Today it's all tailored, never off-the-shelf: IT & Digital, Business & Web Hosting, built around what each client actually needs. Over the years those areas have come together under one roof: our IT & Digital, Currency, Business and Web Hosting work now all sit within WaTo Consulting. One team, one standard, looking after the lot.

When you work with us, you're a partner, not just a client.
