The short answer
Google Workspace management means a local Adelaide admin from WaTo Consulting looks after your users, licences, groups, shared drives, sharing settings and account security, so the owner stops being the accidental IT person. Billing can stay with Google in the business's name, and leavers are handled so their mail and files are passed on before the account is removed.
What does Google Workspace management involve?
We act as the admin for your Google Workspace account: adding and removing users, assigning licences, setting up shared addresses and groups, and keeping shared drives and sharing settings in order. We also look after the security side, such as 2-step verification, recovery details and alerts about suspicious sign-ins. When you need a change you email or phone us and we make it, so nobody in the office has to dig through the admin console.
What WaTo can help with
Users & licences
Create users, manage access and keep subscriptions under control.
Gmail & groups
Look after business email, shared addresses, groups and routing.
Drive & sharing
Keep shared Drives and file sharing organised around how your team works.
Security & recovery
Support sensible account protection and recovery before access becomes a crisis.
Who it is for
- An owner who is the only super admin and fields every request to add a user or reset a password.
- A team whose files live in personal My Drive folders instead of shared drives the business controls.
- A business still paying for licences that belong to people who left months ago.
- Offices where info@ and accounts@ addresses are set up inconsistently, so emails go missing or reach the wrong person.
How it works
- We take stock of the account. Users, licences, groups, aliases, shared drives, admin roles and security settings are reviewed and anything odd is written down.
- We tidy what needs fixing. Unused licences are removed, shared addresses are rebuilt as proper groups and important files are moved into shared drives.
- We agree how requests reach us. Managers send new starter, leaver and access requests to us, and we confirm when each one is done.
- We keep an eye on it over time. Security alerts, billing changes and Google's own updates are checked regularly so the account does not drift back into a mess.
Why WaTo for Google Workspace management
- You get a second admin who isn't the owner, so access no longer depends on one person's phone.
- We keep a record of each change, so you can see who was added, removed or given access to what.
- Leavers are planned properly, so mail and files are handed over before any account is deleted.
- A local Adelaide team since 2001 that you can ring when something in Workspace stops making sense.
Google Workspace management questions
Do we have to move our Google billing to you?
No. You can keep paying Google directly and give us an admin role. The account and billing stay in the business's name, and we can review plans and licence counts with you whenever it suits.
Can you set up shared inboxes like info@ or accounts@?
Yes. These usually work best as Google Groups or collaborative inboxes, so several people can see and reply to the same mail. We set who receives what and whether replies go out from the shared address.
What if we lose access to the admin account?
Recovery can be slow if the only super admin has left or lost their phone, and it sometimes means proving domain ownership to Google. We set up a second admin and keep recovery details current so you are not stuck if it happens.
Who should manage our Google Workspace?
Someone who knows the admin console and has time for it. In many small businesses that ends up being the owner by accident. We take over the users, licences, sharing and security so it is done properly without taking up your day.
How do we stop staff sharing company files outside the business?
Google Workspace has sharing settings that control who files can be shared with. We set those to suit how you work, move important files into shared drives the business owns, and remove access when people leave.
What happens to a Google Workspace account when someone leaves?
Their email and files should be kept or handed to someone else before the account is removed. We handle that properly so nothing important disappears with the person and you are not paying for unused licences.
