The short answer
When a copier stops sending scans after a move to Microsoft 365, a password change or new multi-factor rules, the fix is a supported sending method such as an authenticated relay, a Microsoft 365 connector or scanning to a folder. WaTo Consulting sets this up for Adelaide offices, tests every scan button and print queue, and documents the settings.
What does scan-to-email & printer workflow setup involve?
Most multifunction printers send scans through an email account, and that link often breaks when the business moves to Microsoft 365, changes a password or turns on multi-factor authentication. We set up a supported sending method, such as an SMTP relay, scan-to-folder or a cloud option, and point each device at it. Then we check print queues, drivers and permissions so the right people can print and scan from the right machines.
What WaTo can help with
Scan-to-email
Configure secure sending from scanners and multifunction devices.
Printer access
Set up reliable access for the right staff, locations and devices.
Document routing
Help send scanned documents where the business needs them to go.
Future-proofing
Document the settings so a later email or printer change does not start from scratch.
Who it is for
- An office whose copier stopped sending scans the week the email moved to Microsoft 365.
- A reception or accounts team scanning documents all day that need to land in the right folder.
- A business with a leased multifunction device where the leasing company and the IT provider each say the other should fix it.
- Practices that want scanned client paperwork going straight to a shared folder instead of one person's inbox.
How it works
- We find out how the device sends. We look at the printer's settings, the email account it uses and what changed around the time it stopped working.
- We choose the right sending method. Depending on the device and your email, that may be an authenticated relay, a Microsoft 365 connector or scanning to a network or cloud folder.
- We configure every device and shortcut. Address books, scan destinations and print drivers are set on the copier and each computer, with access limited to the staff who need it.
- We test it and write it down. A real user tries each scan button and print queue, and the configuration is recorded for the next time the email or printer changes.
Why WaTo for scan-to-email & printer workflow setup
- We understand both the email side and the printer side, so the fix does not stall between two suppliers.
- We avoid shortcuts like switching off mailbox security just to get the scanner sending again.
- Your settings are documented, so a new copier lease or email change does not mean starting from zero.
- We come to your office to work on the device itself when remote access is not enough.
Scan-to-email & printer workflow questions
Why did scan-to-email stop working when nothing changed?
Usually something did change on the email side. Microsoft and Google have been switching off the older sign-in method many copiers rely on, and password changes or new multi-factor rules have the same effect. We find which one it is and set up a sending method that will not break the same way.
Can scans go straight to SharePoint, OneDrive or Google Drive?
Often, yes. Many newer multifunction devices can send to cloud storage directly, and where they cannot, scanning to a network folder that syncs to the cloud does the same job. We check what your model supports before suggesting an option.
Do we need a new printer to fix this?
Rarely. Most of these problems are settings, not hardware. If a device is too old to support current email security or no longer gets firmware updates, we will tell you and explain the options, including talking to your leasing company.
